Complete an appointment

Note: The steps in this article apply only to the web app.

 

After you attend an appointment, you can use Roc Services to complete the appointment and choose how you want to handle the estimate or invoice. 

When you complete an appointment, the appointment status changes to Completed and we notify the customer.

The steps that you need to follow depend on whether the appointment includes an estimate or the appointment is linked to an existing invoice.

Appointment includes an estimate

If the appointment includes an estimate, you can choose one of the following options:

  • Create and send the invoice – You can update the estimate, create an invoice, and then send the invoice to the customer.
  • Save the estimate – You can update the estimate and save it. After you save the estimate, you can create an invoice later from the Estimates page.

Create and send the invoice

  1. Log in to https://services.rocpos.com/.
  2. On the side menu, select Schedule.
  3. Select the appointment that you want to complete.
  4. Select Mark as Completed.
  5. Review and update the estimate. You can update the following details:
    • Customer’s email
    • Customer’s phone number
    • Catalog items
    • Discount
    • Note
    • Attachment
  6. Select Convert to Invoice
  7. In the Net Term field, select the number of days you expect the customer to pay the invoice within.
  8. Select OK.
     

Save the estimate

  1. Log in to https://services.rocpos.com/.
  2. On the side menu, select Schedule.
  3. Select the appointment that you want to complete.
  4. Select Mark as Completed.
  5. Review and update the estimate. You can update the following details:
    • Customer’s email
    • Customer’s phone number
    • Catalog items
    • Discount
    • Note
    • Attachment
  6. Select Save.

Appointment is linked to an existing invoice

If the appointment is linked to an existing invoice and you complete the appointment, we automatically send the invoice to the customer.

To complete the appointment and send the invoice, complete the following steps:

  1. Log in to https://services.rocpos.com/.
  2. On the side menu, select Schedule.
  3. Select the appointment that you want to complete.
  4. Select Mark as Completed.
  5. (Optional) To send the invoice receipt, complete the following steps:
    1. Select Send Receipt.
    2. Enter the customer's email or phone number.
    3. Select Share.
  6. (Optional) To print the invoice receipt, select Print.
